How are aircraft parts shipped and how long does delivery take?

Parts are shipped via vetted freight forwarders (DHL, FedEx, Aramex, UPS) selected based on the part's dimensions, weight, and destination. Standard international shipments arrive within 5–10 business days; AOG (Aircraft On Ground) requests are expedited and typically delivered within 24–72 hours depending on origin and destination. You can request a specific carrier when submitting your RFQ, and the vendor confirms the shipping method and timeline in their quote.

Who handles customs clearance and import duties?

The vendor is responsible for export clearance from the origin country. Import duties, taxes, and customs clearance at the destination are the buyer's responsibility unless explicitly agreed otherwise in the quote. Vendors provide FAA 8130-3 / EASA Form 1 documentation required for customs, and AEX support can guide you through the import process for your jurisdiction (UAE, Saudi Arabia, Turkey, EU, US, and others).

Are hazardous or oversized parts handled differently?

Yes. Lithium batteries, oxygen generators, certain chemicals, and oversized items (engines, landing gear assemblies) require dangerous-goods (DG) certified carriers and specialized packaging. When you submit a freight request, flag the part as dangerous goods or oversized, and the platform routes it only to carriers qualified to handle it. DG shipments include the required IATA documentation.

Is shipping insured, and what is the coverage limit?

Every shipment booked through AEX is insured for its declared transaction value. Coverage includes loss and physical damage in transit up to the part's purchase price. If a shipment arrives damaged, you must report it within 48 hours with photos of the packaging and the part; AEX mediates the claim with the carrier and the vendor until resolution.

What warranty comes with a part purchased on AEX?

Warranty terms are set by the vendor and clearly stated on each listing before you request a quote. New parts typically carry the OEM warranty; overhauled parts carry the overhaul shop's warranty (commonly 6–12 months or a defined cycle/hour limit); serviceable and as-removed parts are sold as-is unless the vendor specifies otherwise. The exact warranty period and coverage are confirmed in the vendor's quote and the order confirmation.

What if the part I receive doesn't match the listing or is defective?

AEX uses an escrow-based protection model. Your payment is held securely and is only released to the vendor after you confirm receipt and that the part matches the agreed condition and certification. If the part is defective, mis-represented, or lacks the promised FAA/EASA documentation, you can open a dispute within 7 days of delivery. Our team reviews the certification records and the documented communication, and you are eligible for a full refund or a replacement at the vendor's cost.

Can I return a part, and who pays return shipping?

Returns are accepted when the part does not match the listing, arrives damaged, or lacks the agreed airworthiness documentation. In these cases the vendor covers return shipping and any restocking is waived. Returns for buyer's change of mind are evaluated case-by-case and, if accepted, return shipping is at the buyer's cost. All returns must be authorized by AEX support before being shipped back.

How does the escrow system protect my payment?

When you confirm an order, your payment is processed securely via Stripe and held in escrow — the vendor ships the part knowing the funds are secured, and you have full protection while the part is in transit. Funds are released to the vendor only after you confirm receipt and acceptance, or automatically after a defined inspection window if no dispute is opened. This eliminates the risk of paying for a part that never arrives or doesn't match the agreement.

How do I track my shipment after the order is confirmed?

Once the vendor ships the part, a tracking record is created on AEX with the carrier and tracking number. You can follow the shipment in real time from the Orders page (Booked → Picked Up → In Transit → Customs → Out for Delivery → Delivered). Each status change is logged with a timestamp, and you receive an email notification at every key milestone so you always know where your part is.

Will I be notified if my shipment is delayed or held at customs?

Yes. The tracking timeline flags any exception — a customs hold, a carrier delay, or a failed delivery attempt — and AEX support is alerted automatically. You receive an email with the reason and the next steps, and our team follows up with the carrier or the vendor to resolve the hold. For AOG shipments, delays trigger an immediate priority escalation.

What proof of delivery and documentation do I receive?

On delivery, you receive a proof-of-delivery record (carrier signature or POD scan), the original FAA 8130-3 / EASA Form 1 certificate from the vendor, and the commercial invoice. All documents are stored against your order record and are downloadable from the Orders page at any time for your maintenance logs and audit trail.

Can I book freight for a part I'm sourcing outside AEX?

Yes. The Freight Booking page lets you request quotes from supported carriers for any aviation shipment — origin, destination, part details, weight, dimensions, and urgency. Carriers respond with pricing and estimated transit time, and the same tracking and insurance protections apply. This is useful when you've sourced a part directly and need certified aviation logistics.

How are vendors verified before they can sell on AEX?

Every vendor goes through a manual review: business registration, airworthiness certifications (FAA, EASA, GCAA, GACA, and others), and contact verification. Only verified vendors appear in search results and can respond to your RFQs. Each vendor profile shows their certifications, transaction history, and buyer reviews, so you can evaluate them before requesting a quote.

What happens if I have an issue mid-transaction?

AEX support is available throughout the transaction. You can reach us via the Contact page or the in-app Support Chat. For active orders, the order chat connects you directly with the vendor, and AEX mediates any disagreement using the documented communication and certification records. AOG requests get priority response within 1 hour.
